Our client, a leading and prominent coal mining enterprise in China, is seeking a highly experienced and capable Senior Executive Assistant to provide comprehensive and strategic support to their Board of Directors. This pivotal role is based in Shanghai and will be instrumental in facilitating the Board's effectiveness in overseeing operations across the Asia Pacific region. The ideal candidate will be a seasoned professional with a strong understanding of the energy sector and exceptional organizational, analytical, and communication skills. This position demands a proactive individual who can seamlessly integrate into a dynamic environment and contribute significantly to the organization's strategic objectives.
Key Responsibilities
Strategic Business Support to the Board of Directors:
- Serve as a primary point of contact and trusted advisor to the Board of Directors on a daily basis, providing critical business insights and support across a broad spectrum of functional areas.
- Prepare and present well-researched and insightful analyses on Legal matters, Business Development initiatives (including Coal Mine Auctions and Mine Development), Procurement strategies, and Commercial & Contracts management.
- Undertake ad-hoc business-related assignments and projects as directed by the Board, ensuring timely and accurate completion.
- Anticipate the needs of the Board and proactively gather and synthesize relevant information to facilitate informed decision-making.
Cross-Functional Coordination and Follow-Up:
- Orchestrate and manage regular meetings involving various Functional Heads, ensuring clear agendas, productive discussions, and accurate record-keeping.
- Diligently track and follow up on Action Taken Reports (ATRs) stemming from Board meetings and functional reviews, ensuring accountability and progress.
- Act as a liaison between the Board and various departments, facilitating seamless communication and information flow.
Board of Directors' Travel and Meeting Logistics:
- Provide comprehensive support in planning and coordinating the Board of Directors' visits and meetings, including those with GMR Projects/Plants and external stakeholders (e.g., government bodies, partners, investors).
- Manage complex travel arrangements, including flights, accommodations, visas, and ground transportation, ensuring efficiency and comfort.
- Prepare detailed itineraries, meeting agendas, and relevant briefing materials for the Board's engagements.
Driving Business Initiatives:
- Actively participate in driving key business initiatives in close collaboration with Country CEOs, ensuring alignment with the overall strategic direction of the organization.
- Provide analytical support and project management assistance to facilitate the successful execution of strategic projects.
- Monitor the progress of business initiatives and provide regular updates to the Board of Directors.
Financial Planning, Reporting, and Control:
- Lead the collation and consolidation of the Annual Operating Plan (AOP), Management Information Systems (MIS) reports, and budget-related data from various departments.
- Conduct thorough monitoring and control of budgets, identifying variances and providing insightful analysis and recommendations to the Board of Directors.
- Ensure the accuracy and integrity of financial information presented to the Board.
Market Intelligence and Regulatory Support:
- Conduct in-depth market research and analysis on relevant Legal and Regulatory aspects impacting the coal mining and energy sectors.
- Provide timely and accurate intelligence to the Board of Directors, highlighting potential risks and opportunities.
- Assist the Board in understanding and navigating policy changes and provide support in policy advocacy efforts.
Performance Monitoring and Reporting:
- Systematically monitor and track the progress against the Annual Operating Plan (AOP) and approved budgets.
- Prepare comprehensive reports and presentations for the Board of Directors, highlighting key performance indicators, trends, and potential areas of concern.
- Provide necessary data and insights to support the Board's oversight and decision-making processes.
Qualifications
- A Bachelor's degree in Engineering is mandatory, complemented by a Master of Business Administration (MBA) with a specialization in Finance or Strategy.
- A minimum of twenty (20) years of demonstrable experience in a similar senior-level executive support function within a corporate setting in the Power Sector.
- Possesses a deep and comprehensive understanding of Finance principles and the regulatory landscape of the Power Industry.
- Demonstrates in-depth knowledge of critical Finance issues and has substantial hands-on experience in driving and supporting Strategic Business Initiatives.
- Exhibits exceptional written and verbal communication skills, with the ability to articulate complex information clearly and concisely to executive-level stakeholders.
- Possesses strong self-confidence and the ability to interact effectively with individuals at all levels of the organization and externally.
